Before you order

  • Dates. Start date, expected end date, and whether extending is likely. Rentals are easy to extend and awkward to restart.
  • Volume. An approximate monthly page count and the color to black split. This sizes the machine and sets the rate.
  • Paper size. Confirm whether you need 11 × 17. It changes the machine class and the footprint.
  • Finishing. Say so now if you need stapling. Adding a finisher later means a second delivery.

Before delivery day

  • Space. A floor-standing machine needs its footprint plus roughly 24 inches of clearance at the front and one side for service access and paper trays. Measure the doorway too — 30 inches is the practical minimum for most tabloid devices.
  • Power. A dedicated 120 V, 20 A circuit within reach of the machine's own cord. Do not plan on an extension lead or a shared power strip.
  • Network. A live wall port at the machine's location, or confirmed wireless coverage. Have an IP address ready, or confirm DHCP is available and that the device VLAN can reach your print servers.
  • Access. Dock or lift gate, elevator dimensions and weight limit, building check-in and any certificate of insurance the property manager requires.

On delivery day

  • Driver deployment. Decide in advance whether drivers are pushed by the IT team or installed at each desk. This is the most common source of a machine sitting unused for two days after it arrives.
  • Scan destinations. Have the SMB share path and credentials, or the SMTP relay details, ready for the technician. Configuring these at install takes minutes; arranging them afterward takes a week.
  • A named contact. One person who knows where the machine goes and can approve where cables run.

Before the term ends

Confirm the pickup date in writing at least a week ahead, take a final meter reading, and clear the address book, stored jobs and scan credentials from the device. Ask for confirmation that the drive has been sanitized after collection.
