Purchase a copier outright when you have capital budget and intend to keep the machine past a typical five-year lease term. You own the asset, you depreciate it, and you pay no finance charges. JR Copier sells new and factory-refurbished multifunction printers from nine manufacturers and services every one of them.
Three conditions make purchase the better choice. First, you have capital available and no reason to preserve it. Second, you expect to run the machine six years or longer, which is common for low-volume devices that rarely fail. Third, your accountant prefers a depreciating asset to an operating expense, often to claim a Section 179 deduction in the year of purchase.
If any of those is untrue, run the numbers on copier leasing before you commit. On a five-year horizon the total cost is usually within a few percent either way, so the decision comes down to cash flow and tax treatment rather than headline price.
The machine is the smaller part of the decision. A copier that nobody can fix is worth nothing, so buy the service alongside the hardware. Ask any dealer three questions before you sign: what is the on-site response commitment, what percentage of calls do their technicians close on the first visit, and do they stock parts for this model or order them after diagnosis.

A factory-refurbished machine costs roughly a third of the same speed class new. Ours are stripped, cleaned, re-drummed, fitted with new feed rollers and developer, updated to current firmware and print-tested before they ship. They carry a 90-day parts and labor warranty and are eligible for the same service agreements as new equipment.

The single most common purchasing mistake is buying on speed rather than on duty cycle. A 45 page per minute machine rated for 15,000 pages a month will break repeatedly if you push 40,000 through it, no matter how fast it prints.
