Check what you are actually bound by
You may hold two agreements: a lease with a funding source for the hardware, and a service contract with a dealer. They are usually separate documents with different end dates and different notice requirements. Changing service providers does not touch the lease and does not put the equipment at risk.
Read the service agreement for its term, its notice window and any minimum monthly commitment. Many service contracts renew annually with 30 to 60 days notice required; some run month to month after an initial term.
What a new provider needs from you
- Make, model and serial number of every machine
- Current meter readings, both black and color
- Your current cost per page or monthly rate
- Approximate age and any known outstanding faults
- Whether the machine is leased, and by whom
With those we can quote coverage within a day and tell you honestly whether the machine is worth covering. Some are not — a device near end of life with parts becoming scarce is better replaced than contracted, and a dealer who will not say so is selling you a problem.
What changes at the machine
Very little. We add the device to our remote monitoring so meters and supply levels report automatically, load our contact details at the panel, and schedule a first maintenance visit to establish its condition. Toner supply switches to us. Staff dial a different number.
Reasons people move
The pattern is consistent: response times that stretched, technicians who diagnose on one visit and return on another, and a cost per page that has risen every year without a conversation. None of those require you to buy new equipment to fix.
Timing
Start 60 to 90 days before your current service agreement's renewal date. That gives room to give notice correctly, get quotes, and schedule an assessment visit without a gap in coverage. Do not cancel existing coverage before new coverage is confirmed in writing.

Common questions
Can I keep my copier and change service companies?
Yes. The equipment lease and the service contract are separate agreements. Switching service providers does not affect the lease or your right to use the machine.
Will a new dealer service a copier they did not sell?
A dealer with technicians trained across multiple manufacturers will. We service Ricoh, Kyocera, Xerox, Canon, Sharp, Konica Minolta, HP and Brother regardless of where the machine was purchased.
