Copier Toner Yield: Why You Never Get the Rated Pages

The five percent standard

Toner yields are published under ISO/IEC standards using a defined test suite where roughly five percent of an A4 page is covered in toner. Five percent is about what a page of plain double-spaced text uses.

Real business documents rarely stay there. A page with a company logo, a header block, a footer and a table might run eight to twelve percent. A chart or a photograph pushes past twenty. A full-bleed marketing sheet can exceed forty.

Estimating your real yield

Divide the rated yield by the ratio of your actual coverage to five percent. A 20,000 page black cartridge at ten percent average coverage yields around 10,000 pages. At fifteen percent, closer to 6,700.

You do not have to guess at your coverage. Most business machines report average coverage per colour in their usage or counter reports; print that page and use the real number. If yours does not report it, track cartridges against meter readings over three months and calculate backward.

Color makes it four problems

Colour machines carry four cartridges that deplete independently. A document set heavy in one brand colour will exhaust that cartridge far ahead of the others. This is normal, and it is why colour supply forecasting from a single average is unreliable.

It is also the main argument for automatic supply delivery based on live device reporting rather than a purchase schedule: the machine knows which cartridge is low, and a forecast does not.

What this means for budgeting

If you buy toner separately, build your budget on measured coverage rather than rated yield, or you will underestimate supply cost by a factor of two on graphics-heavy output.

If you are on a cost-per-page agreement this is largely somebody else's problem — but check whether your contract contains a coverage clause allowing the rate to be revised. That clause is where high coverage comes back to you.
